Cancellation and Refund Policy

Cancellations must be notified in writing to the Conference Registration Manager, lea@on-cue.co.nz or shelley@on-cue.co.nz

A full refund, less an administration charge of 10%, is given for cancellations received in writing four weeks prior to the event.

A 50% refund will be given for cancellations received two weeks prior to the event.

Regrettably, for cancellations received less than two weeks prior to the event, with no possible substitute attendee, no refund can be made and full payment for any outstanding invoices is required.

If cancellation of the event for reasons outside of the organisers control is required, a full refund will be given.

All refunds will be processed after the conference.

Substitute delegates are welcome without penalty, but please advise On-Cue of any name change, for administration purposes.

There will be no refunds for any booked delegate who does not attend on the day.

COVID19 Guidelines for NZPI Conference 2024

Please ensure that when attending the conference, you are healthy and well and consistent in practicing good hygiene.  Please do not attend the conference if you are sick or have any symptoms. If you are feeling unwell, please complete a RATS test.

Mask wearing is no longer mandatory but encouraged where possible indoors to prevent an outbreak during the conference.


Harassment and Inappropriate behaviour

The Institute has adopted a zero-tolerance position in relation to harassment and inappropriate behaviour, be it professional, physical, emotional, or sexual. Any reported harassment or inappropriate behaviour will be investigated. Where a report is found to have substance, it will be dealt with accordingly. This may be through our professional standards process, however, where necessary we will refer an incident to the appropriate external authorities for investigation and potential prosecution. I note that any such investigation may include both the perpetrator as well as any parties that enabled the harassment or inappropriate behaviour to occur.

If you have experienced any inappropriate behaviour at an NZPI event, you can report this in confidence to the Events Manager via email – vanessa.white@planning.org.nz.

Disclaimer

In the event of industrial disruption, or other unforeseen circumstances that disrupt the conference, the conference organisers accept no responsibility. The information on the conference website and in the printed collateral is correct at the time of publication. However, the conference organisers reserve the right to change information. The conference organisers disclaim any and all liability to any person in respect of the consequences of any failure to operate, accident or injury which may occur on services reserved.

The right is reserved to add, withdraw or substitute speakers and vary the advertised programme.

If the conference is cancelled for any reason beyond the organiser's control, there is no right of exchange and no obligation is assumed by the organisers for arranging a substitute speaker. In the unlikely event of cancellation of the conference, a refund of registration fees & functions may not be possible and is at the discretion of the New Zealand Planning Institute. Where an event may be postponed and the option of re-attending is not suitable, a cancellation can be made by writing to the conference organiser and on acceptance, fees will be refunded after deduction of expenses already incurred and subject to supplier contractual agreements.



Insurance

Delegates are encouraged to take out personal travel and medical insurance which includes loss or damage of personal possessions, including loss of registration and accommodation fees through cancellation.



Privacy

Unless you indicate otherwise on the registration form, the organisers will include your name on the list of conference participants distributed to delegates and sponsors. Photographs taken at the conference will be uploaded to the conference website and Facebook page, and may be used to promote the annual conference in future promotional material. At any time, you are able to contact NZPI and request to have images that feature yourself removed.
